What personal data we collect and why we collect it

Elmwood Playhousenunderstands that you care about how your personal information is used.  This privacy policy is intended to provide you with information about how we collect, store and process personally identifiable information obtained through our web site, social media pages and other sources.  The safety of your information is important to us and we are committed to safeguarding it.  

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed. If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Data Collected to Manage Your Membership

At checkout, we will collect your name, email address, username, and password. This information is used to setup your account for our site. If you are redirected to an offsite payment gateway to complete your payment (such as PayPal), we may store this information in a temporary session variable to setup your account when you return to our site. At checkout, we may also collect your billing address and phone number. This information is used to confirm your credit card. The billing address and phone number are saved by our site to prepopulate the checkout form for future purchases and so we can get in touch with you if needed to discuss your order. In addition, your mailing address will be stored in our Members Only directory listing of active members. Your email will be added to our Members Email Mailing list which is handles by MailChimp. At checkout, we may also collect your credit card number, expiration date, and security code. This information is passed to our payment gateway to process your purchase. The last 4 digits of your credit card number and the expiration date are saved by our site to use for reference and to send you an email if your credit card will expire before the next recurring payment. When logged in, we use cookies to track some of your activity on our site including logins, visits, and page views.

Push Notifications

Users of our website have to option to sign up to have Push Notification sent to their device. This service is provided by OneSignal and confirms to their Terms of Use and their Privacy Policy.

Ticket and Subscription Purchases

Online purchase of tickets, gift certificates and season subscriptions are handle by the third party service arts-people.com

How do we collect information?

We may receive information about you in the following ways:
  • When you buy tickets or sign up for our productions and events on the Elmwoodplayhouse.com website, through our call center, box offices or through third-party sellers
  • When you register on our website or sign up for Elmwood newsletters and other publications
  • When you donate or sign-up to become a member
  • When you post a comment on our website
Occasionally we may obtain lists from other Arts and Cultural institutions of people who have allowed their data to be shared with similar organizations

What information do we collect?

Depending on how information was collected and what you choose to share with us, information we may store includes:
  • Name and contact details including postal address, email, phone numbers and links to social media accounts
  • Other information you provide to us such as gender, date of birth, race, ethnicity, relationships, employment, interests, hobbies, or educational details
  • Transaction history, including credit card information as required (see “Security of your information” below)
  • Details of visits to our website including referral source, length of visit, pageviews, browser usage, and location data
  • History of the emails we send you and your responses to them so that we may better tailor our communications with you

Security of your information

Elmwood takes reasonable technical and organizational precautions to prevent exposure, misuse or loss of your data.  Your personal information is stored in a database hosted and maintained by a certified PCI compliant third party in a certified secure installation.  All financial transactions entered through our website are protected by encryption technology.

How do we use your information?

Elmwood uses personal information collected to communicate with you by email, text, phone or mail, enable you to participate in special promotions and to allow purchasing and shipping of tickets and/or subscription information.  When you call our audience service line, our staff will review your information to ensure it is correct and to provide best service.   Elmwood will not sell your contact information to anyone.  Occasionally we exchange or rent direct mail lists with other non-profit arts and cultural institutions so that our patrons can see a diverse set of experiences – these lists are used for mail only.  Elmwood may send your contact information to other companies when:
